Privacy Policy

At Lotus & Vernis, your trust matters as much as the care we put into your nails. This policy explains, in plain language, what information we collect, why, how we protect it, and what your rights are. We follow Quebec’s Law 25 (Act respecting the protection of personal information in the private sector).

Who is responsible for your information

The law requires us to appoint a person responsible for protecting your personal information. For any question about this policy, or to exercise your rights, you can reach them:

The information we collect

We only collect what we need to welcome you and manage your appointment:

  • Your contact details : your first name, last name, phone number and, if you provide it, your email address.
  • Your appointment details : the service chosen, any add-ons, the date and time, and the assigned professional.
  • Your comments : any note you leave us when booking, such as an allergy or a preference.

Payment is made on site, at the salon. We do not collect any banking or credit card information through our website.

Why we collect this information

We use your information to:

  • confirm, prepare and provide your appointment;
  • reach you about an appointment (confirmation, reminder, change or cancellation);
  • tailor the service to your needs, for example if you tell us about an allergy;
  • keep a history of your visits so we can serve you better next time.

We do not use your information to send you marketing messages without your consent, and we never sell your information.

Your consent

By booking an appointment and providing your information, you consent to our using it for the purposes described in this policy. You may withdraw your consent at any time by contacting us (see below), with the understanding that some information may still be required to honour an already-scheduled appointment or to meet our legal obligations.

Who we share your information with

We only share your information with the providers who help us run the salon and the website, and only as far as necessary:

  • Our booking platform : the system that records your appointments and contact details, built and maintained by our technical provider (4octet).
  • Maps (Google Maps) : when you view the map of our location on the site, Google may receive technical information related to displaying the map.

These providers are required to protect your information and to use it only to provide their service to us. We may also disclose information where the law requires it.

Where your information is hosted

Your information is hosted in Canada, on Amazon Web Services (AWS) cloud infrastructure, in its Canadian region (Montreal). We do not transfer your information outside Canada. Our hosting providers are required to protect it and to use it only to provide their service to us.

How long we keep your information

We keep your information for as long as needed to provide our services and maintain our relationship with you, and then for the period required by our legal and accounting obligations. When it is no longer needed, we securely destroy or anonymize it.

Cookies and statistics

Our site uses a small number of cookies that are strictly necessary for it to work, for example to remember your display language. These cookies are not used to track you for advertising purposes.

To understand how our site is used, we use Umami, a privacy-friendly website analytics tool. It uses no cookies and collects no personal information: no data can identify you. The statistics, fully anonymous and aggregated, are hosted on our own servers in Canada and are never shared with third parties. This is why no consent banner is required.

Your rights

The law gives you rights over your personal information. You can:

  • Access : your information and obtain a copy of it.
  • Correct : information that is inaccurate, incomplete or out of date.
  • Withdraw your consent : to its use, going forward.
  • Request deletion : of your information when we are no longer required to keep it.
  • Receive your information : in a structured, commonly used technological format (portability), in the cases provided by law.

To exercise any of these rights, contact the person responsible (see below). We normally respond within 30 days. If our response does not satisfy you, you may file a complaint with the Commission d’accès à l’information du Québec (cai.gouv.qc.ca).

The security of your information

We take reasonable measures to protect your information against loss, theft and unauthorized access. Despite these measures, no system is foolproof. In the event of a confidentiality incident that presents a risk of serious harm, we will notify the individuals concerned and the Commission d’accès à l’information, as required by law.

We may update this policy from time to time. The date of the last update appears at the top of the page. We encourage you to review it regularly.
